7 Tips to Help Your Prioritize Your Business Tasks

“I’m sorry, I can’t chat right now…I’m still getting last year’s taxes done!”

Don’t laugh…we’ve all been there, done that!   Hopefully it wasn’t your taxes…but there are definitely moments when life’s duties get a little overwhelming.

When running a business, sometimes it seems like there are so many things to do that we don’t know where to start.  Setting priorities is essential.  But sometimes that’s easier said than done.

* Many people find that prioritizing is much easier when they start each day with a written “To Do” list.  You can also use a computer program if it works for you.  The key is to have a list in writing where you can analyze and adjust it as needed.

* See if there are any tasks that can be delegated to someone else.  If you don’t have employees, outsourcing could be an option if needed.

* Large tasks can often be handled more effectively when broken up into smaller tasks.  Once you’ve done that, you may find that there are portions of the larger tasks that can be outsourced.  And if doing an entire project in one sitting will monopolize your time for the day, breaking it up into smaller tasks may allow you to postpone the less urgent parts until another day.

* Once you’ve determined which tasks need to be handled by you, it’s time to prioritize them.  Tasks that already have deadlines are a good place to start.  In most cases, it pays to get them out of the way first.

* For tasks that don’t have deadlines, think about how they affect the big picture.  If they’re not terribly important, they can be moved to the bottom of your list.  You may even be able to drop some of them altogether.

* Some tasks could be handled in a few different ways.  For these, it pays to consider which way is the most efficient or least expensive.  Some face-to-face meetings could be replaced with phone calls, for example, and an email might be an acceptable substitute for a long-distance fax.

* If your list is too long to handle in one day, look it over one more time to see if there is anything you can delegate or outsource.  If not, you may have to postpone some of the less important items.  That’s the beauty of prioritizing.  It helps you get the most important things done first, and anything that’s left over can usually wait anyway.

When it comes to time management, prioritizing our tasks should be a top priority.  Making a list of the things we need to do in the order that they need to be done can help us use our time much more wisely.  And that will lead to greater productivity.

Inspiration is very important to business owners.  It can motivate us through the tough times…best of all, it can spark new ideas for products, services, or marketing efforts.

Although we may not realize it at first glance, inspiration is all around us.  It can take many forms, and it can show itself in things that look like the exact opposite of inspiration. 

By keeping our eyes open and looking at things in the most positive light possible, we can find all sorts of inspiration in everyday life….Ah!  finally, we have an excuse to escape our home office for awhile.  (:

Kids Inspire Us

Children are a wonderful source of inspiration.  Whether they are our own, a friend’s or a family member’s, kids never cease to amaze us.  Small children are especially inspirational, because they have so much to learn and tend to keep at it until they get it right.

For example, think about a child who is learning to walk.  It’s certainly not something that happens overnight.  First he gets up on his knees and crawls, then when he’s mastered that he pulls himself up and stands.  Eventually he’s holding onto things and taking small steps, and before you know it he’s walking all over the place on his own.

Kids go through many similar learning processes.  When they find something they want to do, they keep at it until they get it right.  If a child can be that motivated, so can an adult.

Nature Inspires Us

Nature is a beautiful place to look for inspiration.  There are tons of examples that business owners could follow from plants and wildlife.

Beavers work together to build and repair dams.  Plants sometimes grow and flourish in places that we would never dream that they could.  Birds search high and low until they’ve found everything they need to build nests for their babies.  These are just a few of the things in nature that can inspire us.

Art and Entertainment Inspires Us

Inspiration can often be found in art.  Just looking at the artistry and craftsmanship of our favorite pieces can be awe-inspiring.  The attention to detail can inspire us to put the same amount of effort into the things we do.

The movies and television shows we watch and the music we listen to can provide inspiration.  There is no shortage of negativity in these mediums, however, so it’s important to choose what we watch and listen to carefully.

These are just a sample of the things that we can look to when we need inspiration.  If we look at things in the right way, we can find inspiration all around us.  This inspiration can then be channeled into our business endeavors, giving us the fuel we need to succeed.
